HOWTO Groups and Users


Description:


Groups allow for a unified permission system, enabling users access to various applications or parts of the applications.


Each site can edit existing or add new groups as per their requirements by clicking on the appropriate action buttons. During add/edit, permissions and group names are available for editing.


NOTE: After creating a group it can be assigned to a user by going to the Users page.



Groups → Creating a Group


In order to create a 'Group' for a specific Tenant or users (which will be mentioned later), please navigate to:


'Admin settings’ → ‘Groups'



Once there, to add a new group, click 'Add New Group' which will prompt you to the section as presented in the screenshot.



In this section, the following fields can be populated:


  • Group name: Define a group name
  • All tenants: 

If Enabled, then users, who are members of this group, will be able to access all the tenants on the system. This does not apply to the Master Tenant. To enable access for Master Tenant you need to enable the Master Tenant option.


If Disabled, a new field called Tenants will be shown where you can select tenants that users, who are members of this group, will be able to view. When Disabled, the Master Tenant field is hidden but Master Tenant can be selected as an option from the Tenants field.


  • Master Tenant

Visible only if the All Tenants option is enabled. If Enabled then users, who are members of this group, will be able to view Master Tenant as well.


NOTE: If the All Tenants option is disabled then this field is not visible but Master Tenant can be chosen as a selection in the Tenants option.


  • Tenants: Define specific Tenants that should be included in the group.
  • Show advanced: Allow members of the group to modify 'Advanced options'.
  • Reload & Restart actions: Enable it to allow members to restart or reload PBXware


When defining group settings, users can see the tabs with different options used for granting permissions to the group members.



Please refer to the following explanation of each option respectively.


  • Extensions


Selecting this option controls whether this specific group can have permissions to modify the Extensions page for the assigned Tenant/s.


NOTE: To edit Extensions, please navigate to 'Tenant' → 'Extensions'.



  • Trunks

Selecting this option controls whether this specific group can have permissions to modify Trunks.


NOTE: To edit Trunks, please navigate to 'Master Tenant' → 'Trunks'.


  • SMS

Selecting this option controls whether this specific group can have permissions to modify SMS.


NOTE: To edit SMS, please navigate to 'Master Tenant' → 'SMS' and/or 'Tenant' → 'SMS'.


  • DIDs

Selecting this option controls whether this specific group can have permissions to modify DIDs.


NOTE: To edit DIDs, please navigate to ‘Master Tenant' → 'DIDs’.


  • Conferences


Selecting this option controls whether this specific group can have permissions to modify the 'Conferences' page for the assigned Tenant/s.


NOTE: To edit Conferences, please navigate to ‘Tenant' → 'Conferences’



  • IVR


Selecting this option controls whether this specific group can have permissions to modify the 'IVR' page for the assigned Tenant/s.


NOTE: To edit IVR, please navigate to ‘Tenant' → 'IVR’.


  • Voicemail

Selecting this option controls whether this specific group can have permissions to modify the 'Voicemail' pages for the assigned Tenant/s.


NOTE: To edit Voicemails, please navigate to one of the following: 'Master Tenant' → 'Settings' → 'Voicemail’ AND/OR ‘Tenant' → 'Voicemail’.



  • Queues

Selecting this option controls whether this specific group can have permissions to modify Queues for the assigned Tenant/s.


NOTE: To edit Queues, please navigate to ‘Tenant' → 'Queues’.


  • Reports

Selecting this option controls whether this specific group can have permissions to view reports and monitor calls for the assigned Tenant/s.


NOTE: To view reports and monitor calls, please navigate to ‘Tenant' → 'Monitor’ AND/OR ‘Tenant' → 'Reports’.


  • Meetings

Selecting this option controls whether this specific group can have permissions to see meetings (or just subsection settings) for the assigned Tenant/s.


NOTE: To edit meetings, please navigate to 'Home' → 'Meetings'.


  • System

Selecting this option controls whether this specific group can have permissions to modify the 'System' page for the assigned Tenants and Master Tenant.


NOTE: To edit the page for Master Tenants, please navigate to 'Master Tenant'System’, and for Tenants, please navigate to ‘Tenant' → 'System’.


  • Settings

Selecting this option controls whether this specific group can have permissions to modify the 'Settings' page for the assigned Tenants and Master Tenant.


NOTE: To edit the page for Master Tenants, please navigate to 'Master Tenant' → 'Settings’, and for Tenants, please navigate to ‘Tenant' → 'Settings’.



  • Recordings

Selecting this option controls whether this specific group can have permissions to access recordings for the assigned Tenant/s.


NOTE: To access recordings, please navigate to ‘Tenant' → 'Reports' → 'CDR’.


  • Other


Selecting this option controls whether this specific group can have permissions to have access to other settings for the assigned Tenant/s.





Site Accounts → Users


In order to create a user to be assigned to a certain group, it is necessary to navigate to:


Admin Settings' → 'Site Accounts' → 'Users’.


Once there, to create a user, click ‘Add New User’ in the top left corner which will open a new window with two sections to be populated. Please refer to the screenshot.




The General section has the following fields:

  • Disable Account: Choose to enable/disable this user
  • Company: Enter the company's name for this user
  • Name: Enter the user's name
  • Address: Enter a user’s address
  • City: Enter a user’s city name
  • Country: Select a country for a user
  • State: Enter a country/state from which a user is coming
  • Zip: Enter a postal/zip code
  • Phone: Enter a user’s phone number


NOTE: In case the format of a phone number or fax is incorrect, the following warning message will appear: "Phone/Fax can contain numbers, + sign and - separator only." Please refer to the screenshot.



  • Fax: Enter a user’s fax number
  • E-mail: Enter a user’s e-mail address
  • Group Select a group to which this user would be assigned to
  • Suspended Check this box to suspend a user


The Password section has the following fields:

  • Password: Set a user’s password
  • Verify Password: Verify a user’s password
  • Password Expiry: Select when the user’s password should expire
  • Change password at next login: If selected, a user would be prompted to change the password on the next login.



  • Save
Click this button to save the configuration.
  • Save & E-mail
Click this button to save the configuration and send it to the user's email address
  • Go Back
Click this button to return to the previous page
